Event Signage — FAQs

Trade Show Displays — FAQs

It depends on what you're walking in with — a retractable banner stand is the budget-friendly entry, a 10ft pop-up display with graphics and lights sits in the middle, and backlit booth kits go higher. Tell us your booth size and we'll price it straight — no guessing.

Banner stands are cheap, light, and set up in under five minutes — great for tight budgets and small spaces. Pop-up displays cost more but fill a whole back wall and become the centerpiece of a 10x10 booth, which draws more attention. Honest advice: if this is your only booth piece, go pop-up; banner stands are best as supporting players.

Rent if you do one or two shows a year — lower upfront cost and no storage headaches. Buy if you're doing four or more shows a year with a fixed footprint; the math flips in your favour quickly. We print pop-ups and banner stands for purchase; for full booth rentals in Toronto there are exhibit companies that do turnkey concept-to-dismantle rentals.

Order at least 2–3 weeks before your show. Standard production is 4–7 business days after artwork approval, plus shipping — Toronto shops quote 3–4 business days for banners, 5–8 for backdrops. Rush production in as little as 24 hours exists, but last-minute artwork issues and overnight shipping get expensive fast.

A backwall display 8–10 feet wide, one or two banner stands, a table with a branded cover, and a counter — with about 40% of the floor left open so people can actually walk in. The biggest mistake we see is people walling themselves in behind their table. Leave room; you want visitors inside the booth, not hovering at the aisle.

We take high-res PDF, AI, EPS, or TIFF files — vector is best because your logo gets blown up to six feet tall, and what looks fine on your screen can print pixelated at that size. Send what you have and we'll do a free file check before anything prints. If your file needs fixing, budget extra days for design.

The hardware — frames, stands, cases — lasts 5+ years of regular use if you don't beat it up. The printed graphics should be refreshed every 1–2 years as branding changes, and replacement graphics cost a fraction of buying a whole new display. So treat the hardware as the investment and the graphic as the consumable.

Many Toronto shows require it. The Toronto Gift + Home Market, for example, mandates $2M liability coverage from every exhibitor, and any outside contractor you bring for install needs $2M naming the association as co-insured. Check your exhibitor manual — showing up without the certificate can get you blocked from the floor.

Keep your banners simple — big logo, one hero tagline, minimal text. Bring your own LED display lights because convention hall lighting is usually terrible, plus a branded table cover, literature holders so your counter doesn't look messy, and some way to capture leads (tablet sign-up form works). Go tall with towers or hanging banners if the show allows it — visibility from across the floor matters.

Banners — FAQs

It depends on size, material, and whether it's single or double-sided — a small indoor banner and a big outdoor mesh are different jobs, and heavier 18oz material costs more. Send your size and we'll give you the real number — (416) 694-1996.

A quality 13oz vinyl banner typically lasts 3+ years outdoors with reasonable care — roll it, don't fold it, for storage, and give it an occasional wipe. Heavy sun, ice, and wind are the killers; Toronto winters are hard on anything, so a banner left up year-round won't last as long as one stored between seasons. Indoors, they last far longer.

Mesh wins outdoors in wind, every time. Its perforations let roughly 35–40% of the air pass through, cutting wind load by up to 40% so your banner doesn't become a sail and tear its grommets out. Solid vinyl gives sharper colour and more vivid graphics, so use vinyl against a solid wall or indoors, and mesh for fences, construction sites, and exposed spans. The print-quality gap is negligible beyond about 10 feet.

Outdoors: grommets — metal eyelets you rope or bungee to fences, posts, and walls; flexible, tough, and easy to re-hang. Indoors: pole pockets — sleeves that slide onto a pole for a smooth, professional trade-show look with no visible hardware. Large banners get both options, but pockets need compatible poles/brackets while grommets work with almost anything.

Use the industry rule: 1 inch of letter height for every 10 feet of viewing distance. Banner readable from across the street (~50 ft)? Letters need to be at least 5 inches tall. Roadside at 100 ft? 10-inch letters. Then pick the banner size to fit that type comfortably. Too many customers design a banner on a laptop and wonder why nobody across Danforth Ave can read it.

Yes — double-sided banners are standard for street spans, fencing, and anything viewed from both sides, printed on blockout material so the reverse image doesn't ghost through. Single-sided is fine for walls and building faces. Double-sided costs more than single, but a blank back on a busy Toronto street is wasted space.

Yes. We print on 13oz waterproof scrim vinyl with UV-resistant inks — it handles rain, snow, and sun. A GTA competitor's FAQ confirms 13oz tear-resistant vinyl built for Canadian conditions with hems and wind slits available for extra durability. For extreme wind exposure, upgrade to mesh or add wind slits.

The common ways: bungee cords, zip ties, rope, or hooks through the grommets — or poles through the pockets. For fences: hem all four sides, grommets every 2 feet, bungee cords; use ALL the grommets, never hang from corners only, and keep slight slack so wind doesn't stress the material. Between two poles: pole pockets left and right.
